Business access and account settings on mobile
Separate personal and business settings, preserve pending work and review the exact account, business and billing effects before permanent deletion.
Before you start
Confirm which business is active before changing shared information. Personal preferences, business profile data, role permissions and subscription billing are different settings. A visible help page does not grant management authority.
Plan eligibility, business features, permissions and device support still apply. Reading a guide does not grant access.
Step by step
- Open Settings and choose Personal for device or account preferences, or Business for shared business administration.
- Under Personal, use the available App lock — PIN & biometrics, Two-factor authentication, appearance and layout controls. Customise tabs and Customise menu affect navigation preferences, not permission to access hidden business functions.
- Under Business, open Business details only if your account has management access. Check the actual business contact details and address before saving; owner-only branding and pricing controls retain their own restrictions.
- Use Team for permitted team administration and Manage organisations for the businesses available to your account. Before changing context, review Sync centre and outstanding uploads so pending records remain associated with their original business.
- Use the web Business settings and Billing pages for configuration not offered by the native screen. In particular, do not substitute an Australian identifier field for a foreign tax registration or assume a sample Australian address sets your country.
- When signing out, read any unsynced-record warning. Stay signed in and sync first where possible. If records belong to another business or account, return to that original context to resolve them rather than attempting to send them under the current one.
- If you intend permanent deletion, first download records you need to retain. Open Settings → Delete account for the account, or Manage organisations → Delete org for a business you own. Leaving an organisation as a member is a different action; it does not mean you are cancelling that business’s billing.
- Where your app shows Review permanent deletion, read the freshly loaded affected-business list, each business’s explanation and whether Your login will be removed or Your login will be retained. The active business alone is not the whole account-deletion scope. Review loading does not itself cancel billing or delete records.
- Only if the review permits confirmation, type the displayed phrase — DELETE ACCOUNT or DELETE BUSINESS — and deliberately select the permanent-deletion acknowledgement. If a separate billing acknowledgement appears, read and select its exact terms too. A membership or an owner badge is not a substitute for the review’s affected-business list.
- Choose Confirm permanent deletion only when you intend the displayed permanent effects. Cancel — keep my account and businesses leaves that review unconfirmed. On a confirmed account deletion the app signs out; a business-only deletion can retain your login and refresh the available organisations. Read the actual result before assuming either outcome.
Worked example
An owner changes the company phone number in Business details, then checks the saved profile. A technician changes the app appearance in Personal without changing company branding or gaining office permissions.
This is an illustrative scenario, not a customer testimonial.
Check the result
Reopen the changed settings and verify the saved value in the correct business. Check document previews separately after changing customer-facing business details; a personal display preference does not change an issued document.
Limits and troubleshooting
- If a management control is absent or access is refused, ask the business owner to review the role instead of switching records or accounts to bypass the restriction.
- Country, currency, invoice tax and subscription billing require deliberate business configuration. The public website region and the phone location do not migrate existing documents or change a business’s tax obligations.
- To cancel a subscription while retaining records, use the supported Billing workflow; do not use permanent account deletion as a cancellation shortcut. A deletion review can require cancellation acknowledgement for affected owned businesses, including custom agreements. That acknowledgement does not establish a refund, waive an obligation or determine a termination fee.
- The reviewed deletion screen depends on a compatible app and server; older builds may show a different confirmation or refuse the action. If a current review is unavailable, update when a compatible release is offered or use the signed-in website account-deletion flow. Do not assume this guide makes an older app display the new review.
- If the review expires, the account or business changes, or the affected list cannot be verified, choose Refresh deletion review and read the new scope before confirming. If support review is required, no deletion can be confirmed there yet; resolve the stated issue rather than repeatedly submitting.
- A lost connection can leave deletion unconfirmed even when the server completed it. Nothing is retried automatically. Refresh the review before another deliberate attempt, and check the account or contact support if you can no longer sign in. Do not interpret a cancelled, failed or uncertain response as proof that billing was cancelled or data was erased.
